Creating a Shift from Weekly planning

How to create shifts to schedule workers' time

You can create shifts by defining the position, department, location, and schedule. Follow these steps:

On Weekly planning page:

Click on Create a new shift button at top right

Step 1 - Basic Information & Skills

Start by entering the core details of the shift.

  • Enter the core details of your shift:

    • Shift name: Internal reference only (workers won't see this)

    • Position: The role required (e.g., Social Care Officer)

    • Backup position (optional): A secondary role that can cover the shift

    • Skills (optional): Add required skills from your organisation's list

Click Continue when all required fields are completed.


Step 2 - Department & Location

Define where the shift takes place:

  • Select the Department

  • Choose an existing location or create a new one

  • New locations are saved automatically for future use

  • Once complete, click Continue.


Step 3 - Schedule & Timing

Normal Shift: Single day or consecutive days with the same times

  • Set start/end dates and times

Custom Schedule: Specific days of the week within a date range (e.g., Mon/Wed/Fri for 3 weeks)

  • Select days of the week

  • Set date range and times

Recurring Shift: Long-term repeating pattern (e.g., every Monday until year-end)

  • Each occurrence is created as a separate shift that can be individually managed

  • Select days of the week and repeat frequency

  • Set start date, repeat until date, and times

Tip: Use the + button to add multiple time slots (e.g., morning and afternoon sessions).

Once all timing details are completed and validated, click Continue to move to the next step


Step 4 β€” Notes & Configuration

Add optional details:

  • Notes: Information workers need before the shift

  • Cover Reason: Select from preset options (if enabled)

  • Shift Type: Choose type if your organisation uses multiple types, such as Standard, Sleep In, or On-Call (if enabled)


Step 5 - Review & Submit

Review your shift summary. Use Back to make changes, or click Create Shift to finish.

Your new shift will appear on the Weekly Planning page.
