Weekly View
The view displays one week at a time, showing all open shifts across your organisation. You can move between weeks using the arrows at the top or by selecting a specific week.
The status summary in the top right of the screen signifies what each colour means on the schedule:
Red - Action required from you. An example would be a shift where no applicants have been invited, or a shift where a candidate has applied.
Orange - Awaiting response from the candidates. An example would be a shift where the invites have been sent, but no one has applied yet.
Green - Booked, the shift is booked and no further action is required.
Purple - Total number of matches for open shifts on a selected week.
Filtering and Navigation:
Use the filters on the left to refine what you see. You can filter by:
Status (e.g. Open, Booked)
Position (Based on org. setup)
Department( Based on org. setup)
Location (Based on org. setup)
Planning FeatureThe Planning view introduces a visual way to plan your week by assigning shifts directly to matched workers before confirming them.
Run matching
Click Find All Matches at the top of the page.
The system will identify the best-fit workers for each open shift.
This process may take some time depending on how many shifts are open.
Once complete, shifts will show a green dot to indicate that matching has been completed.
View matches on the planner
Create draft assignments
Review and adjust
Continue assigning until all open shifts are allocated as drafts.
You can reassign draft shifts if needed.
Publish drafts
Once you’re happy with the schedule, click Publish for the department you’d like to confirm.
A confirmation window will appear showing a summary of all shifts being published.
Publishing finalises the assignments and sends notifications to workers (via email)
Drafts are converted into confirmed shifts.
Hours overview
Next to each worker’s name, you can now see a summary of their booked and draft hours for the week.
Booked hours – show confirmed, published shifts (e.g. “20.0h booked”).
Draft hours – show total hours of shifts that are currently in draft status (e.g. “+3.8h draft”).
Total hours – shows the combined total of booked and draft hours (e.g. “=23.8h total”).
When you create a new draft assignment, those hours automatically update under the worker’s name.
Once you publish drafts, the draft hours are added to the booked total.
