"Paid as" feature

How to use the "Paid As" option when assigning a shift to select the correct payroll role if it differs from the worker’s contracted role.

The "Paid As" feature allows you to specify the correct payroll information when assigning shifts, even when it differs from what was originally posted or from the worker's contracted role. This ensures people are paid correctly according to their employment terms.

Where you can select "Paid as" information

You can adjust "Paid As" details in two places:

1. When Assigning a Shift Directly

To set "Paid As" information when assigning a shift:

  • Go to the Schedule page

  • Open the shift you want to assign

  • In the candidates table, click the Assign button for your chosen worker

  • In the pop-up window, you can edit the following Paid As fields:

    • Employee number

    • Position

    • Cover reason

    • Department

    • Location


2. When Offering a Shift to Applicants

To set "Paid As" information when sending shift offers:

  • Go to the Schedule page

  • Open the shift that has applicants

  • Click Select for your chosen applicant, then click Send offer to 1 applicant

  • In the offer window that opens, you can adjust these Paid As fields:

    • Employee number

    • Position

    • Cover reason

    • Department

    • Location

How to View "Paid As" Information

Once you've assigned a shift or sent an accepted offer with "Paid As" details:

  • Shift Details page: Shows both the original shift information and your "Paid As" adjustments

  • Shift Summary Report: Includes "Paid As" details as additional columns for easy payroll reference

This ensures you have a clear record of both what was originally posted and what should be used for payroll purposes.
