How to attach additional forms for candidates who have already applied to your job ad to complete

Once you have applicants for a job advert, you can send them Onboarding or Additional forms to request additional information -- to gather information that you need prior to interview, for example.

To attach an Onboarding or Additional form:

  • Open the Job Advert detail page.

  • Navigate to the Swim lane tab.

  • Find your applicant. Drag and drop the applicant to the chosen column (status) you require.

  • An email preview window will appear containing you email template for that Application Status. Click the Edit button.

  • From the Attach Additional Form dropdown, select the form you’d like to send. You will need to have already set your forms up in the 'Forms' tab.

Click Apply Changes at the bottom of the window.

The attached form will now appear in the email preview. To send it, click the Confirm button.

The applicant will receive an email with a note indicating that an Onboarding / Additional form is attached and is awaiting their completion and submission.

How to review Submitted Onboarding/Additional forms

Once the applicant submits the form, you can review it from their details page.

To review submitted Onboarding/Additional form:

  • Open the Job Advert detail page.

  • Go to Applicants tab.

  • Click the View button for the relevant applicant.

  • Scroll to the bottom and click Show Additional Forms.

  • You’ll be prompted to confirm that you are ready to view the forms — if you are happy to proceed, click Show Forms.

Once confirmed, you’ll see the submitted forms. You can Print or Download them as needed.
